How gift vouchers are sent in recipient emails

When a gift voucher is emailed to a customer, VaocherApp chooses whether to:

  • attach the voucher as a file in the email, or
  • include a download button/link in the email, or
  • do both

This depends on your email template settings and the size of the voucher file.

What your customer can receive

Option What your customer sees
File attachment The gift voucher PDF attached to the email (or a ZIP file if more than one voucher is sent together)
Download button / link A button or link in the email that lets them download the voucher

Both options give your customer the same gift voucher. Only the way they open it is different.

When a download button or link is used

If your recipient email template includes a download button or download link, that is shown in the email.

In most cases, the voucher file is not also attached — unless you have turned on the option to attach the voucher PDF as well.

We recommend including a download button in your recipient email template.
It’s reliable for customers, and it helps avoid delivery problems when voucher files are large.

When a file is attached

VaocherApp attaches the voucher file when:

  1. Your email template does not include a download button or link, or
  2. You have turned on Attach voucher PDF in the email template

Then:

  • 1 voucher → a PDF is attached
  • 2 or more vouchers in the same email → a ZIP file is attached

This is especially useful for older email templates that don’t yet include a download button.

When both are used

If your template has a download button/link and you turn on Attach voucher PDF, customers usually get both:

  • the download button/link in the email, and
  • the voucher file attached

That way they can open the attachment straight away, or download it later if needed.

Important: very large voucher files

Some voucher designs (especially those with large background images) create very large PDF files. Email providers limit how large attachments can be.

If the voucher file is too large to send safely as an attachment, VaocherApp will:

  1. send the email without the attachment (so the email still gets through), and
  2. make sure your customer still has a way to download the voucher
  • using the download button/link already in your template, or
  • adding a download button automatically if your template doesn’t have one

Your customer still receives their gift voucher. They just open it via download instead of as an email attachment.

Quick guide

Your email template setup File attached? Download button/link?
Has download button/link, Attach voucher PDF is off No Yes
Has download button/link, Attach voucher PDF is on, file is small enough Yes Yes
Has download button/link, Attach voucher PDF is on, file is too large No Yes
No download button/link, file is small enough Yes No
No download button/link, file is too large No Yes (added automatically)

Bonus gift voucher emails

If you send bonus gift vouchers by email, VaocherApp usually tries to attach the voucher PDF(s).

If the file(s) are too large to send safely, the attachment is skipped and a download button/link is used instead — so the bonus voucher still reaches your customer.
